HireTrackPro (“we”, “our”, or “us”) is a product of Matrix Infotech. We are committed to protecting your personal information and your right to privacy. This Privacy Policy explains what information we collect, how we use it, and what rights you have in relation to it.

1. Information We Collect
We collect information you provide directly to us, including:
- Account information: name, email address, company name, and password when you create an account.
- Job postings: job titles, descriptions, requirements, and any other content you create in the platform.
- Candidate data: applicant information you upload or collect through your HireTrackPro careers page, including resumes, cover letters, and application responses.
- Communications: messages you send us via the contact form or email.
- Usage data: how you interact with our platform, pages visited, features used, and actions taken.
- Device data: browser type, operating system, and device identifiers. We do not store your raw IP address.
- Login history: date and time of sign-in, device/browser, and approximate country (derived from your IP address at login time for security purposes — the raw IP is immediately discarded and never stored).
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and improve HireTrackPro
- Process and manage your account and subscriptions
- Send transactional emails (account confirmations, password resets, notifications)
- Respond to your support requests and inquiries
- Send product updates, new features, and occasional marketing communications (you can opt out at any time)
- Monitor and analyze usage patterns to improve our product
- Comply with legal obligations and enforce our terms
3. Candidate Data
When you use HireTrackPro to collect and manage applicant data, you act as the data controller and we act as the data processor. You are responsible for ensuring that you have the appropriate legal basis to collect and process candidate information, and that candidates are informed about how their data will be used.
We process candidate data only on your instructions and in accordance with this policy. We do not sell or share candidate data with third parties for their own purposes.
4. Data Sharing
We do not sell your personal information. We may share your information with:
- Service providers: third-party vendors who help us operate our platform (e.g., cloud hosting, email delivery, payment processing). These providers are bound by contractual data processing agreements.
- Legal compliance: when required by law, court order, or government authority.
- Business transfers: in connection with a merger, acquisition, or sale of assets. You will be notified of any such change.
5. Data Retention
We retain your account data for as long as your account is active. If you cancel your account, we will delete or anonymize your personal data within 30 days, except where we are required to retain it by law.
Candidate data is retained according to your settings in the platform. You can delete candidates at any time.
Login history records (country and device only) are automatically purged after 90 days. Raw IP addresses are never stored — only the derived country is retained for the duration of the 90-day window.
6. Security
We implement industry-standard security measures to protect your data, including encryption in transit (TLS) and at rest, access controls, and regular security reviews. However, no method of transmission over the internet is 100% secure. We encourage you to use a strong, unique password and enable two-factor authentication on your HireTrackPro account.
In the event of a data breach that affects your personal information, we will notify affected users and, where required by law, the relevant supervisory authorities within 72 hours of becoming aware of the breach. Notification will be sent to the email address associated with your account.
If you discover a security vulnerability, please report it responsibly to security@hiretrackpro.com. We take all reports seriously and will respond promptly.
7. Your Rights
Depending on your location, you may have the following rights:
- Access: request a copy of the personal data we hold about you.
- Correction: request correction of inaccurate data.
- Deletion: request deletion of your personal data (subject to legal requirements).
- Portability: receive your data in a machine-readable format.
- Objection: object to certain types of processing, including marketing.

8. California Privacy Rights (CCPA / CPRA)

We use cookies and similar tracking technologies to operate our platform, remember your preferences, and analyze usage. Essential cookies are required for the platform to function. You may disable non-essential cookies in your browser settings, though this may affect some functionality.
10. Children's Privacy
HireTrackPro is not intended for use by individuals under the age of 16. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us immediately.
